Party Planning Tips

  1. Plan Ahead - begin the process well in advance to ensure the proper arrangements can be made. The process should begin at least 3 to 4 weeks prior to the event date. Ideally, a six-week lead is recommended. Invitations should be sent at least two weeks prior to the event, allowing your guests sufficient notice and planning.
  2. Choosing a Theme - involve your child in the planning and decision making process. Consider what your child loves: What are his/her current passions? Who is his/her favorite hero/character? What games does he/she love to play? What kind of party does he/she want?
  3. Choose an Age-Appropriate Theme for the Party - Parties a la Carte has a list of party theme suggestions specific to the age group you will be hosting.
  4. Constructing a Guest List - The rule of thumb suggests inviting as many children as the child's age; for example, a five-year-old would invite 5 children. Limiting the party size to under 12 will make it easier to handle the guests and give each child the attention he/she needs and deserves. Parties a la Carte is committed to making the party a memorable, enjoyable event, no matter what the size.
  5. Set a Time Limit/Party Structure - Parties a la Carte recommends the party be kept to 2 hours in length, structured as follows:
    • Arrival Activity (15 minutes)
    • Games, Activities, or Entertainment (45 minutes)
    • Refreshments (30 minutes)
    • Gift Opening (20 minutes)
    • Farewell Activity (10 minutes)
    Together we will develop a plan that will include any and all of the elements you and your child choose.
  6. Be Prepared and Flexible - Plan for unexpected, last minute guests (children who attend but may not have responded to the invitation RSVP) when planning for food, favors, and prizes. You may wish to provide invited children who were unable to attend the party with a favor bag or small token of the party
  7. Know Your Guests - It's important to check with parents regarding any food allergies or any physical limitations their child(ren) may have. Special arrangements will need to be made to accommodate any special needs. Parties a la Carte will work with you on any special arrangements that are required.
